ThompsonMcMullan, P.C. is seeking a Litigation Legal Assistant to join our Shockoe Slip, Richmond, VA office.
The ideal candidate will have experience providing administrative and litigation support in a professional legal environment. This position plays an integral role in supporting attorneys throughout all phases of litigation and requires strong organizational skills, attention to detail, professionalism, and the ability to effectively manage multiple priorities in a fast-paced practice.
The Litigation Legal Assistant will be responsible for assisting attorneys with time entry and monthly client billing; maintaining organized electronic and physical case files, including document scanning and file management; maintaining accurate client and matter information in the firm’s case management and document management systems (TABS, PracticeMaster, and NetDocuments); answering telephone calls, providing courteous assistance to clients, and directing inquiries appropriately; greeting and assisting clients during office visits in a professional and welcoming manner; opening and closing client files, including conducting initial conflict checks and ensuring timely file administration; scheduling appointments, managing attorney calendars, and coordinating meetings; sorting, distributing, and processing incoming and outgoing mail; and performing various administrative and interoffice support duties as needed.
Additional responsibilities include assisting paralegals with drafting pleadings and other legal documents with a working knowledge of basic litigation procedures and court rules; helping to prepare, organize, and assemble discovery requests, responses, and related documentation; calculating court deadlines, maintaining deadline reminders, and communicating critical dates to attorneys; coordinating with state and federal courts to schedule hearings and other court appearances; and preparing and electronically filing documents, including through the PACER filing system for Federal Court.
The successful candidate will possess excellent organizational, communication, and time management skills, along with exceptional attention to detail. This position requires sound judgment, discretion, confidentiality, and the ability to work both independently and collaboratively as part of a team. Candidates should be adaptable and willing to assist wherever needed to support the firm’s attorneys, clients, and staff.
This is a full-time, non-exempt, in-office position. Regular work hours are 9:00 a.m. to 5:00 p.m., Monday through Friday, with a 30-minute lunch break.
Job Qualifications:
- Minimum of one (1) year of related experience in a law firm or other professional services environment.
- Working knowledge of litigation procedures, court rules, and legal terminology.
- Experience preparing pleadings, discovery documents, and court filings.
- Familiarity with PACER and electronic filing procedures for Federal Court.
- Proficiency with Microsoft Office Suite and experience using document management and legal practice management software, including NetDocuments, TABS, and PracticeMaster.
- Excellent organizational, time management, and multitasking abilities with exceptional attention to detail.
- Strong verbal and written communication skills.
- Ability to maintain confidentiality, exercise sound judgment, and work effectively in a collaborative team environment.
- Virginia Notary Public commission, or willingness to obtain one.
- Flexibility to adapt to changing priorities and assist with firm needs as they arise.
- Ability to lift up to 25 pounds.
Salary Range: $50,000 – $70,000 annually, commensurate with experience.
